Refund Policy - Whitsunday Dive Adventures
Cancellation & Refund Policy
All cancellations must be advised in writing to diving@whitsundaydiveadventures.com.
The following conditions apply depending on the product or service booked:
Dive Courses
Refund Eligibility
- More than 14 days prior to course start:
Full refund (excluding administration and processing fees, including any applicable payment surcharges). - The PADI eLearning / Online Theory fee ($285) is non-refundable once assigned.
- If a participant is unable to dive due to medical reasons and valid medical clearance is not provided prior to the course start date, this will be treated as a cancellation under the applicable timeframe.
It is the guest’s responsibility to complete the medical questionnaire and obtain clearance well in advance of the course start date. Last-minute medical issues (e.g. the day before or on the day) will not be grounds for a refund outside the applicable cancellation period.
Non-Refundable Situations
- Cancellation within 14 days of the course start date
- Once the course has commenced
- Discounted or promotional bookings
- Failure to meet medical requirements on the day without prior clearance
Course Changes & Transfers

Changes made more than 14 days prior to the course start date are free of charge, subject to availability.

Changes made between 7 and 14 days prior to the course start date will incur a $150 fee.

Changes made within 7 days of the course start date are not permitted and will be treated as a cancellation, with standard cancellation terms applying.

Once the course has commenced, no changes or transfers are permitted.

Course dives postponed due to weather or operational reasons will be rescheduled where possible. If rescheduling is not possible, a pro-rata refund may be offered for any unused course components.
Course dives postponed due to weather are non-refundable; alternative dates or store credit will be offered.
Completion Deadline
All PADI courses must be completed within 12 months of the commencement date.
Dive Tours (2-Tank Dive / Discover Scuba / Snorkelling)
Cancellations & Rescheduling
- More than 48 hours prior to departure:
Full refund (excluding administration and processing fees, including any applicable payment surcharges) - Within 48 hours of departure:
Non-refundable
Rescheduling within 48 hours is treated as a cancellation. A new booking will be required at full price.
Medical Requirements
If a guest answers “YES” to any question on the medical questionnaire and cannot provide valid medical clearance prior to departure:
- Participation will not be permitted, and
- The booking will be treated as a cancellation under the applicable timeframe
The medical questionnaire is available on our website and must be reviewed prior to booking.
Private Charters
Cancellations & Rescheduling
- More than 14 days prior to departure:
Full refund (excluding administration and processing fees, including any applicable payment surcharges) - 7 to 14 days prior to departure:
50% cancellation fee applies - Within 7 days of departure:
Non-refundable
Rescheduling within these periods is treated as a cancellation. A new booking will be required at full price.
Weather-Related Cancellations
Company-Initiated Cancellations
If we cancel a trip due to unsafe weather conditions or operational reasons, you will be offered:
- An alternative travel date, or
- A full refund
Payment Terms (Summary)
- A 25% deposit is required at the time of booking to secure your reservation
- Remaining balance is due:
- 14 days prior (courses & private charters)
- 48 hours prior (day tours)
If full payment has not been received by the due date, the balance may be processed using the card provided at the time of booking.
To avoid credit card surcharges, bank transfer is available for balance payments.
Travel Insurance
We strongly recommend purchasing travel insurance at the time of booking to cover cancellations, changes, or unforeseen circumstances.
